Facilities Supervisor

Our Facilities team are recruiting for a permanent Facilities Supervisor, who’ll be responsible for the day-to-day delivery of Facilities services, supporting the core business and maintaining an optimum working environment for employees across our London offices based at Nine Elms and Vauxhall Bridge road.


You’ll work as part of an established team, supporting the Facilities Assistants and deputising for the Facilities Manager where required.


The opportunity:


  • Responsible for pro-active day to day supervision of various third-party contracts and providers of outsourced services. Acting as the main point of contact for all issues, ensuring faults are reported and followed through to completion and the team are always updated.

  • To assist the Facilities Manager with the management of service level agreements (SLAs) and Key Performance Indicators (KPIs) with contractors and external suppliers.

  • Responsible for ensuring that the building and all processes & procedures are up to date and comply with current legislation/regulations. Ensuring that building checks are being carried out, including fire safety and health & safety checks.

  • To carry out small, ad-hoc projects – ensuring that the aims of the project are met, and quality standards and health and safety are adhered to and supervising the work of external project managers as and when required.

  • To act as Deputy Fire Controller responsible for assisting the Facilities Manager (Fire Controller) in Fire safety drills and evacuations where applicable.

  • Be the focal liaison point between our employees and contractors.

  • Track service and maintenance issues; ensure resolution in a timely, cost effective manner

  • Supporting the Facilities Manager with departmental invoicing, company fleet, other administrative duties.

  • Be the out of hours contact when the Facilities Manager is on leave.

  • Responsible for ensuring requests on the Support Hub (Helpdesk) and Condeco (Meeting room booking system) are dealt with in a timely manner.

  • Supporting the Facilities Assistants with the day-to-day tasks including administrative requirements, covering Front of House and manual handling (i.e. setting up meeting rooms). 

  • Provide support to the Front of House team to ensure an excellent Front of House experience for all PRH staff, authors and visitors.

  • Assist the Facilities Manager with conducting inductions for Facilities related personnel and provide updates & guidance to PRH People Managers to complete the same.


About you:


  • Previous experience in a similar Facilities role is essential, preferably within a creative environment.

  • Strong and excellent communication and customer service skills, with the ability to deal effectively with customers and colleagues at all levels.

  • You’ll have experience of Microsoft Packages (Ideally Microsoft 365).

  • Health & Safety qualification ‘IOSH – Managing Safety’ or higher is required.

  • Manual Handling, Legionella and Asbestos training is required.
