What You’ll Be Doing

  • Manage Outlook calendar for the CFO
  • Managing travel itinerary, arranging airport transfers and flight plans and general scheduling for the CFO
  • Support other Executives who visit the NY office, including but not limited to organizing travel
  • Answer and screen telephone calls
  • Preparation of documents, ensure proper signatures are obtained and documents are filed accordingly
  • Booking conference rooms and venues for events, meetings, etc.
  • Logging and handling employee travel approval requests
  • Serve as program administrator for BMG US American Express account and tracking all employee accounts to ensure timely payment
  • Prepare PowerPoint slides for monthly Board meetings
  • Reception desk coverage and light office duties
  • Executive Management meeting/event coordination



  • At least 2+ years of prior administrative experience in a fast paced environment required
  • A college degree is strongly preferred
  • Working knowledge of the music business and entertainment industry is a must
  • Ability to converse with industry professionals using appropriate music jargon
  • Time management, attention to detail, and organizational skills are of the utmost importance
  • Ability to juggle multiple projects and duties on a daily basis and adaptable to changing priorities without getting overwhelmed
  • Proficiency with all Microsoft Office applications (Outlook, Word, Excel and PowerPoint); Adobe Photoshop is a plus
  • Strong written and oral communication skills
  • An ability to follow through on all duties
  • Calm, positive, and professional demeanor
  • Ability to work with all types of personalities, resourcefulness, self-confidence and a sense of humor
  • Must be available to attend occasional evening showcases/events
  • Must be flexible and have the ability to work overtime as needed
