Team Coordinator (Technology)

In this newly created role, our Technology division is looking for a Team Coordinator to join them on a permanent basis, supporting 4 members of the Technology Senior Leadership Team. You will report into the Director of Technology and work collaboratively with their PA.

 

You’ll be at the heart of the division, a critical support to a friendly and welcoming team that enables the organisation to do their best work and bring amazing stories to life.

 

About Technology

 

After finalising our technology, data and process merger recently, our Technology division are now moving forward with our technology strategy to further enable the organisation to bring amazing voices to all. This involves harnessing the power of Cloud solutions, a constantly evolving security stance, the rejuvenation of legacy applications and further improving the way we engage with and manage our strategic partners and suppliers.

The role

 

In this position, you will provide full coordination support to the Head of SAP Finance and SOP Systems, the Head of Publishing and HR Systems, the Head of Warehouse and Distribution Systems and the Head of IT Procurement.

 

Key responsibilities:

 

  • Complex diary management and managing time effectively between the relevant team members you’ll support.

  • Organising internal and external meetings using a variety of tools across hybrid working settings, such as booking rooms, sending agendas, supporting documentation and arranging conference calls or video conference calls.

  • Organising internal and external meetings across multiple geographies and ensuring tech preparations are tried and tested where required.

  • Providing project coordination and small budget management, organising large and small Technology project events as required.  

  • Minute taking and actioning where required for distribution of meeting materials in a timely manner, including for discreet meetings and projects.

  • Pulling together agenda items and generating agendas for team meetings.

  • Formatting and producing PowerPoint presentations or excel and word documents when required.

  • Coding invoices and raising purchase orders.

  • Supporting activities for team engagements, including Townhalls, Newsletters and annual gatherings. 

  • Booking travel and accommodation for UK and overseas trips where required.

  • Working collaboratively with the PA to the Director of Technology to ensure documents such as org charts, intranet content and email distribution lists are up to date.

  • Engaging in discreet departmental or broader projects where required.

What you’ll bring:

 

  • Previous experience as a Team Coordinator or equivalent, with a strong understanding of how to provide tailored one-to-one support. You’ll know what it takes to build strong, close working relationships with colleagues at every level, proactively responding to their needs and seeing the work through their eyes.

  • Highly competent with Microsoft Teams.

  • Advanced MS Office skills, including Word and Excel.

  • Evidence of confident and stylish slide design in PowerPoint.

  • Excellent organisational skills, being able to juggle multiple or competing priorities with strong attention to detail.

  • Excellent communication skills, with the ability to quickly build relationships both with internal and external stakeholders.

  • A proactive and calm approach under pressure, and clear enthusiasm for working in a technical environment in a support position.

Salary: Circa £35,000 dependent on how your skills and experience align to the role, plus bonus and benefits.
