Office Manager
New York, New York

We are looking for an Office Manager to organize and coordinate administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety.

Office manager duties and responsibilities include scheduling meetings and appointments, making office supplies arrangements, greeting visitors and providing general administrative support to our employees.

A successful Office Manager should also have experience with a variety of office software (email tools, spreadsheets and databases) and be able to accurately handle administrative duties. Ultimately, the Office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operations.

 

What You’ll Be Doing.

  • Serve as the point person for office manager duties including such as maintenance, mailing and supplies, internal office rules, Covid 19 safety rules, etc.
  • Schedule meetings and appointments
  • Manage clients visits and guests from US and international BMG offices
  • Organize the office layout and order stationery and equipment
  • Maintain the office condition and arrange necessary repairs
  • Provide administrative support to other departments as necessary
  • Organize office operations and procedures
  • Coordinate with IT department on all office equipment
  • Assist in the onboarding process for new hires as well as leaver processes
  • Manage contract and price negotiations with office vendors, service providers and office lease
  • Manage office budget, ensure accurate and timely reporting
  • Ensure that all items are invoiced and paid on time
  • Provide general support to visitors and clients
  • Address employees queries regarding office management issues
  • Liaise with facility management vendors
  • Plan in-house or off-site activities, like parties, celebrations and conferences

 

Must-Haves

  • You have previous experience within an administrative or office management position.
  • You are organized with the ability to multitask and manage conflicting priorities.
  • You have strong initiative and a positive, can-do attitude.
  • You are an excellent communicator and have strong interpersonal skills.
  • You have proficiency with Microsoft. Excel, PowerPoint etc.

Pay Range

$55,000-60,000 per annum

The pay range listed above is dependent upon factors such as work experience, qualifications and business needs. In addition to the range above, this role is eligible for a discretionary annual bonus and applicable benefits.
