Administrative Assistant - Audio Group

As the premiere publisher in the audiobook industry, Penguin Random House Audio is dedicated to producing top-quality fiction and nonfiction audiobooks written and read by the best in the business. We are looking for a highly organized Administrative Assistant to join the team and provide support to the President and Publisher and the SVP of Strategic Business Planning.


This position is ideal for someone who is extremely organized, process-oriented, and excels in communicating and working in a fast-paced environment with colleagues across all audio departments. In this highly visible role, the Administrative Assistant will play a key part in ensuring that the overall publishing efforts of the division are being met.


Some of the specific responsibilities include:

  • Providing day to day administrative support to two high-level managers, including managing their calendars, coordinating all meeting requests, scheduling department meetings, and assisting with meeting planning and preparation.
  • Recording and distributing notes from various weekly and monthly meetings.
  • Maintaining various reports, such as expenses.
  • Booking and managing supervisor travel scheduling.
  • Researching and creating presentations on audio business for global publishing summits.
  • Providing support to the President and Publisher and her direct reports on special projects including events, presentations, reports, and panels.
  • Budgeting, planning, and executing bi-monthly division-wide social gatherings.
  • Assisting the publicity team, creating digital and physical materials for review mailings, giveaways, and events.
  • Providing additional support for Publicity as needed, including tracking media coverage and awards, editing audio clips, and drafting social media copy.
  • Serving as the point person for the department on general inquiries.

  • Prior office experience, administrative experience a plus
  • Genuine interest in the publishing industry; audio publishing interest a plus
  • Highly organized, with the ability to manage multiple priorities at a time
  • Excellent written and verbal communication skills
  • Ability to communicate effectively with employees across all levels of an organization
  • Ability to creatively problem solve and adapt to shifting priorities
  • Ability to work well in a fast-paced environment
  • Proficiency with Microsoft Outlook, Word, Excel, and PowerPoint
  • Spanish language skills a plus
