We are looking for a detail oriented Accounts Payable Officer to fill a vacancy in our busy Finance Team based in Scoresby working 5 days per week (3 days work from office, 2 days work from home). The Scoresby office will be relocated to Dandenong South around Sep 2025.
Reporting to the Finance Manager – This position supports the team with the shared services general accounts payable functions for Penguin Random House Australia and New Zealand. It includes ensuring that all supplier invoices, author advances and royalties, staff reimbursements and credit card transactions are paid and processed accurately in accordance with regulatory requirements, legislation, company policies and procedures.
Key Responsibilities:
- Creation and maintenance of new creditors.
- Processing of invoices.
- Shipment financial support. Supporting inventory invoices processing in system.
- Month end creditor statement reconciliations.
- Responding to creditor enquiries and internal requests for AP information.
- Processing supplier payments including the preparation of payment reports, finalising payments in the system, uploading payments into the bank and allocation of manual payments into the system.
- Providing guidance to the other accounts payable team members when needed.
The successful candidate will have:
- Minimum 3 - 5 years experience in AP end to end function.
- 3 way matching experience.
- Experience using an ERP system in a medium size organisation. Knowledge of Basware would be an advantage. Knowledge of shipping/stock invoices process would be an advantage.
You will also demonstrate the following:
- Strong attention to detail along with good problem solving skills.
- Intermediate level of MS Word and Excel.
- Solid communication skills both written and verbal.
- Ability to build and maintain effective working relationships with multiple departments across a variety of levels within the business and externally.
