The Role

This role is a strategic position in the Distribution division. It requires foresight, proactive problem-solving, and the ability to act as a key business partner to senior leadership. The ideal candidate will not only manage complex schedules and travel logistics but also anticipate needs, provide thoughtful solutions, and streamline operations to maximise efficiency.

 

With strong business acumen and excellent organisational skills, this individual will be instrumental in ensuring seamless decision-making and facilitating high-level engagements. Their ability to work autonomously, maintain confidentiality, and liaise effectively with international stakeholders makes them an indispensable asset to the leadership team. 

 

Key Activities and Responsibilities:

 

  • To proactively manage the complex, fast paced and ever-changing diaries for the EVP and VP.
  • Extensive international travel management, including visas, accommodation, complex travel itineraries, restaurant booking management and complex meeting schedules especially during key periods such as markets i.e. MIPTV and MIPCOM
  • Support with coordinating and managing the logistics and budgets for all events for the division, this includes but is not limited to: International Sales Conference, Town Halls, Office Socials
  • Meet and greet internal and external clients, taking messages and fielding queries whilst being the brand ambassador for Fremantle International. This will require adept handling of both creative and commercial stakeholders
  • Coordinating meeting room bookings, hospitality and technical aspects as required
  • Processing purchase orders, invoices and expenses
  • Producing PowerPoint and other presentations
  • Key department liaison for all IT and facilities requests – experience with Mac and PC required
  • Involved with training new assistant team members and providing holiday cover for other EAs and PAs
  • Ad hoc tasks as required  

 

Key competencies and qualifications:

 

  • Demonstrable experience in a busy matrix international organisation, with a proven track record of supporting multiple senior individuals
  • Proactive and positive can-do attitude
  • Excellent organisational and time-management skills
  • Experience of managing confidential information
  • Strong problem-solving skills and accuracy and administration; be highly self-motivated
  • Experience of working under pressure and multi-tasking and using one’s own initiative
  • Ability to prioritise and work to tight deadlines
  • Resilient and proactive mind-set with a flexible approach to daily workload
  • Ability to work independently
  • Excellent attention to detail
  • Professional presentation and demeanour with strong written and verbal communication skills
  • This role demands a flexible approach and team player attitude
  • Excellent M/S Office skills including Word, Excel, Outlook and PowerPoint
  • Team-player and able to work within a diverse team with many local and international internal and external stakeholders at all levels up to a very senior level
  • Diplomatically and culturally sensitive
