Senior Registrar Specialist

The Senior Registrar Specialist, under the supervision of the University Registrar, is expected to apply a wide range of experience, knowledge and expertise to perform comprehensive Registrar services, including systemwide course scheduling and/or university catalog maintenance and development. This position requires a thorough understanding of university policies, procedures and academic program requirements in order to provide accurate guidance to academic leadership and student support staff, troubleshoot potential system issues, and support the university’s overall mission.

 

Starting Salary: Non-exempt position at $28.21 an hour ($55,000 annualized) based on experience and geographical location.

 

Minimum Qualifications:

Education: Bachelor’s degree (BA/BS) from an accredited college or university. A master’s degree is preferred.

Experience: Three (3) year prior experience in a Registrar’s Office or equivalent. Prior scheduling/project management experience preferred.

Certifications, Licenses, etc.: None.

 

Skills:

•              Intermediate computer skills, especially with Microsoft Office and extensive experience with student data systems, preferably Anthology Student (formerly CampusNexus Student).

•              Sensitivity to cultural diversity and ability to communicate and interact effectively with people of all ages and diverse backgrounds.

•              Excellent oral and written communications skills.

•              Ability to work effectively as a team player; highly motivated, focused and results oriented.

Duties & Responsibilities:

•              Coordinate university catalog update process across multiple academic and administrative departments.

•              Evaluate, monitor, and publish changes to university catalog within established deadlines.

•              Follow up with academic leadership as needed to ensure approved curriculum and policy changes are accurately reflected in the university catalog.

•              Collaborate with academic leadership and support staff to identify and implement course scheduling process improvements to increase accuracy and efficiency, and to establish and communicate course schedule deadlines.

•              Maintain the systemwide course schedules, including, but not limited to, entry of systemwide course schedules, canceling and adding courses, modifying, or updating existing courses (in coordination with Academic Program Coordinators), and processing independent studies.

•              Ensure that schedule changes have appropriate approvals from both an academic and financial perspective.

•              Coordinate with IT and facilities to ensure classrooms are assigned in a timely manner.

•              Utilize system resources and reporting tools to help optimize class sizes and to ensure accuracy of schedules.

•              Troubleshoot problems with the course schedule: identify and correct errors and resolve scheduling conflicts.

•              Interface with students, alumni, faculty, and staff on complex registrar related inquires.

•              Support critical recurring processes including student satisfactory academic progress and ensuring compliance with attendance and enrollment policies.

•              Provide registrar’s office support, including but not limited to helping to monitoring the registrar inbox, processing, and responding to emails, building program versions, completing degree audits, following up with students and advisors as needed to resolve issues, posting degrees, and ordering diplomas.

•              Assist with answering of phones, scanning of documents, and filing as needed.

•              Perform other related tasks, duties and responsibilities as required, assigned, or directed.

Direct Reports: None.

Indirect Reports: None.

 

Contact Responsibility:

Internal: Interacts with supervisor to receive direction and instructions and/or review of work results. This position will work closely with academic support staff. The Senior Registrar Specialist will interact with a variety of individuals at all levels of the institution.

External: Limited external contact, generally with alumni.

 

Primary Work Location, Hours & Travel Requirements:

Office Location: On Campus or remote.

Work Hours: Standard office hours, this is a 37.5-work week.

Travel: None.

Work environment is in a standard office setting. Frequently exposed to low to moderate noise, various odors, temperature

changes, and equipment with moving parts, including but not limited to computers, phones, printers, and other standard office equipment.

 

Physical Requirements:

Ability to execute those physical activities required to perform the essential functions including, but not limited to, regular sitting and being mobile; continual communicating both in person and on the telephone; regular keyboarding; regular reading of both print and digital material; and all other activities required to perform essential functions.
