Records Specialist II (Remote)

Position Summary:
The Records Specialist II, under the direction of the Assistant University Registrar, is responsible for a variety of registrar support duties including, but not limited to: registration processing, degree audits, student record updates, Clearinghouse verifications, diploma ordering, and assisting with course scheduling.
Starting Salary: $23.58 an hour ($46,000 annualized), Full-Time

Minimum Qualifications:
Education: Bachelor’s degree from an accredited college or university, or an equivalent combination of education and experience.
Experience: Two (2) years prior experience in a Registrar’s Office or equivalent.
Certifications, Licenses, etc.: None.
Skills:
• Intermediate computer skills, especially with Microsoft Office and have experience with student data systems, preferably Anthology Student (CNS).
• Sensitivity to cultural diversity and ability to communicate and interact effectively with people of all ages and diverse background.
• Excellent oral and written communications skills and must be able to prioritize the required workload.
• Proven ability to work effectively as a team player; highly motivated, focused and results oriented.
• Ability to exercise discretion and tact in all interpersonal contacts, and to maintain confidentiality at all times.
• Ability to manage multiple tasks according to required deadlines and maintain composure under high stress conditions.
• Ability to be optimistic, positive and supportive in all interactions with others.

Duties & Responsibilities:

• Serves as primary point of contact for Campus Directors and advisors at various campuses for Registrar support services.
• Sets up and performs final degree audits for students at selected campuses/programs, posts degrees, orders and distributes diplomas for current graduates and alumni.
• Provides enrollment and degree verification letters for students and alumni.
• Fulfills transcript and DegreeVerify requests submitted through the National Student Clearinghouse.
• Assists with attendance compliance monitoring and enforcement.
• Assists with recurring Registrar processes (e.g. AWOL, Dean’s List, re-entries, academic absence requests, withdrawals, transfer credit, waivers, registration).
• Assists with annual Cal Grant GPA verifications.
• Learns and provides guidance on curriculum and other program requirements for various campuses/programs, in addition to all university-wide policies.
• Answers registrar related questions for student, staff and alumni.
• Assists with ensuring accurate entry and update of course schedules into CNS, working closely with Senior Registrar Specialist, Deans, Program Directors and academic support staff.
• Updates registrar forms online as directed by the Assistant University Registrar.
• Performs other related tasks, duties and responsibilities as required, assigned or directed.

Direct Reports: None.
Indirect Reports: None.
Contact Responsibility:
Internal: Interacts with supervisor to receive direction and instructions and/or review of work results. This position will work closely with academic support staff. The Records Specialist II will interact with a variety of individuals at all levels of the institution.
External: Limited external contact, generally with alumni.

Office Location: On Campus or remote.
Work Hours: Standard office hours.
