The Records Assessor, under the general direction/supervision of the Accreditation Liaison Officer, is responsible for reviewing and assessing potential and current candidate records for the purpose of meeting the Basic Skills Requirement and Subject Matter Competency and to ensure that the University follows the laws, rules, and regulations of State credential program regulations (i.e. California Commission on Teacher Credentialing (CCTC) as they relate to the Basic Skills Requirement and Subject Matter Competency. The Records Assessor assumes a broad range of assessment responsibilities that include reviewing, analyzing, and evaluating candidate transcripts, exam results, course descriptions, university catalogs, etc. for the purpose of providing documented evidence that the candidate has met the Basic Skills Requirement and Subject Matter Competency. Serves as a resource to provide current information to staff on matters regarding State credential requirements and University policies and procedures. Relies on experience and judgment to plan and accomplish goals.

Duties & Responsibilities:

  • Monitoring the receipt of an reviewing both the unofficial and official transcripts of potential and current candidates.
  • Finding courses within the submitted college/university transcripts that meet the qualifications set forth by CTC. 
  • Verify that official transcripts received math previously presented unofficial transcripts.
  • Document the completed Basic Skills Requirement (BSR) option - Exam, Coursework, or Combination - using the Alliant BSR & SMC Verification Form.
  • Document the completed Subject Matter Competency (SMC) option - Exam, Approved Program, Direct-Match Academic Major, Coursework, or Combination - using the Alliant BSR & SMC Verification Form. Forward completed Alliant BSR & SMC Verification Form to the Credentialing Department for final review and signature. 
  • Advises Alliant staff regarding the requirements for meeting BSR and SMC as per current California law and guidance provided by CTC.
  • Remain current of State legal requirements (i.e., CTC).
  • In collaboration with University leadership. partner with State Credentialing authorities by attending conferences and workshops to stay current on applicable regulations and  procedures, as needed. 
  • Participat in department meetings or other events as request/directed and collaborate with the CSOE team to keep relevant forms and documents updated. 
  • Perform other related tasks, duties, and responsibilties as required, assigned, or directed. 



  • Proficient computer skills, including proficiency with Microsoft Office programs, especially SharePoint, Excel; Adobe; CX, CampusNexus, SchoolDocs and SalesForce.
  • The ability to work independently and be self-motivated.
  • High level of accuracy and attention to detail and the ability to problem solve. 
  • The ability to explain complex requirements in clear and concise terms. 
  • The ability to be flexible with workflow to meet the needs of the department and to manage multiple tasks per required  deadlines. 
  • The drive to encourage, direct, hold accountable and guide onself toward task completion.
  • Must demonstrate the ability to work as an effective team member and develop trusting relationships with University employees, specifically within the Admissions Department and Credentialing Department. 
  • Sensitivity to cultural diversity and ability to communicate and interact effectively with people of all ages and diverse background.
  • Highly motivated, focused, and results oriented.
  • Ability to exercise discretion and tact in all interpersonal contacts, and to maintain confidentiality always.

Minimum Qualifications: 

  • Education: Bachelor's Degree from an accredited four-year college or university; Master's Degree preferred.
  • Experience: Two (2) years providing academic administrative support, advising, review and assessment or records and/or data in an institution of high education or elated environment. Work experience in reviewing and assessing official transcripts from institutions of high education. Work experience in a School of Education setting is desired.
  • Certifications, Licenses, etc. .: None
