The Human Resources Assistant will support the Senior Human Resources Generalist with coordinating the hiring process for adjunct faculty including ensuring all new hire paperwork and background checks are completed, contracts are signed and accurate prior to initiating a workflow in the UltiPro system. This position is part-time (.5 FTE) and will also support the HR Generalist with performing a variety of confidential projects and processing functions, including data entry, records management, and customer service. The incumbent must possess a general knowledge of applicable state and federal employment regulations, ability to work independently, have good judgment, and the necessary discretion to maintain the confidentiality of highly sensitive issues and information.


Duties & Responsibilities:

  • Assist the HR Generalist with the onboarding process for adjunct faculty contracts to ensure accuracy prior to initiating a workflow in the UltiPro system.
  • Ensure background check process is completed for adjunct faculty.  
  • Ensure accurate adjunct contract information is processed in a timely fashion to meet Payroll Shared Services deadlines.
  • Ensure all adjuncts complete their timesheets accurately each pay period (budget code, amounts and contract durations of the generated Adjunct contract’s information etc.) 
  • In coordination with Payroll, ensure Adjunct faculty data is uploaded from Prof Hire to the Payroll Adjunct spreadsheet.
  • Provide assistance to all adjunct employees in navigating the Time Management system in person, on the phone, in email, or on Skype/Zoom or similar video conferencing platforms, within 72 hours, or sooner if required by deadline.
  • Research, analyze, and resolve discrepancies.
  • Send periodic email reminder to hourly Adjuncts about Payroll deadlines
  • Prepare labor distribution report per pay period for Deans and Provost.
  • Perform other related tasks, duties and responsibilities as required, assigned or directed.



  • Proficient computer skills with Microsoft Office Suite (Word, Excel, Power Point); as well as familiarity, understanding and/or experience working with UltiPro or other HRIS system.
  • Knowledge of human resources management principles.
  • Ability to maintain confidentiality at all times and demonstrate respect for client privacy.
  • Knowledge of applicable federal and state employment laws.
  • Time management and prioritization skills.
  • Excellent customer-service skills, including sensitivity to cultural diversity and ability to communicate and interact effectively with people of all ages and diverse background.
  • Ability to work effectively as a team player; highly motivated, focused and results oriented.
  • Excellent interpersonal, verbal and written communication skills.
  • Ability to manage multiple tasks according to required deadlines and maintain composure under high stress conditions.

Minimum Qualifications:

  • Education: High school diploma or GED required. Bachelor’s Degree from an accredited college or university preferred in Human Resources, Business Administration, Management or a related field is preferred.  An equivalent combination of training and experience will be taken into consideration in lieu of college degree.
  • Experience:  One (1) year of work experience in Human Resources, customer service, administration or related area of work.
  • Certifications, Licenses, etc.: None, PHR and/or SHRM-CP desirable.
