Clinic Coordinator: Part-time

Position Summary:

The Clinical Coordinator under the general direction of Clinic Director in Los Alamitos provides administrative / office support for the Alliant Couple and Family Clinic. The successful candidate will provide high quality service to all constituencies of Alliant International University. The incumbent will promote transparency and clarity, will exhibit the highest professional standards and ethical principles and will be committed to the tenets of the University’s Mission and Vision.

 

Starting salary: $27 an hour ($10,530 annualized, Part-time 15 hours bi-weekly).

 

Minimum Qualifications:

Education: Bachelor’s Degree from an accredited four-year college or university

Experience: Experience in managing a small office environment.

Certifications, Licenses, etc.: Live Scan required in addition to standard University background check. Valid California driver’s license and automobile insurance. Required to serve as Department of Justice custodian of records for LiveScan results.

 

Skills:

•    Proficient computer skills, including proficiency with Microsoft Office programs, Google Drive and Calendar
•    Experience with audio visual equipment, specifically, cameras for photos and recording videos preferred.
•    Individual must possess superior interpersonal oral and written communication skills.
•    Sensitivity to cultural diversity and ability to communicate and interact effectively with people of all ages and diverse background;
•    Proven ability to work effectively as a team player; highly motivated, focused and results oriented.
•    Ability to exercise discretion and tact in all interpersonal contacts, and to maintain confidentiality at all times.
•    Ability to maintain composure under high stress conditions.
•    Must possess the skills to prioritize a wide variety of assignments and perform numerous tasks in a fast-paced, service-oriented campus environment.
•    Demonstrated experience working independently, exercising professional judgment, and taking initiative is critical.
•    Ability to manage large interacting systems with differing levels of education and expertise.
•    Manage crises situations both clinically and between and among team.
•    Experience in managing a small office environment.

 

Duties & Responsibilities:

  • Financial Operations Assistance, including.
    • Expense reports and purchasing.
    • Cash and Check Settlements: Distribution of cash and checks to Student Business Services.
    • Managing onboarding process of clinic employees and trainees/interns (coordinating with the University as needed).
    • Petty Cash: Maintain clinic account by managing funds and completing reconciliations.
  • Provide front desk/phone support for clinic.
  • Provide coordination between therapists and supervisors.
  • Clinical intake manager, including assigning intakes to trainees/interns, setting fees, completion of forms for case files and recruitment of clients for the clinic, assist supervisors with assignment of Trainees/interns, manage schedule rotation in compliance with contractual obligations for client contact hours for practicum students.
  • Perform other related tasks, duties and responsibilities as required, assigned, or directed.

 

Supervisory Responsibility:

Direct Reports: None.

Indirect Reports: None.

 

Contact Responsibility:

Internal: Interact with supervisor to receive direction and instructions and/or review of work results. This position works closely with colleagues in multiple departments (i.e., clinical training coordinators, branch directors, etc.) to support both students and colleagues in achieving student success and department goals.

External: Contracted agencies, as applicable.

 

Primary Work Location, Hours & Travel Requirements:

Office Location: Clinic.

Work Hours: Standard office hours, occasional evenings or weekends may be required.

Travel: Occasional.

 

Background Check Requirements:
Employment is contingent upon successful completion of a background check (including criminal, prior employment and education verification).
