Responsible for all aspects of the employee life-cycle process, including; on-boarding and off-boarding procedures and internal communications, managing employee related data within the HRIS systems and managing all payroll processes in adherence with state, federal and local Arvato internal payroll procedures and policies.  This position also manages retention of employment and related documentation and is designated to be the key point of contact for an assigned content area of employee support such as; answering employee questions related to health care plans, managing HR Program Administration for established recognition & reward systems, KRONOS & Payroll administration, or other HR program initiatives as assigned.


General Duties and Responsibilities:


HRIS Systems

  • Complete the initial new hire on-boarding process of new/temporary employees into the necessary HRIS systems: (Kronos/ Headtrax/ HIVE/ ULTIPRO/ MS IDWeb & SuccessFactors) and complete all necessary paperwork & initial employment file creation.
  • Deactivate or modify employee records in the appropriate HRIS systems; (HIVE, Ultipro, KRONOS, HeadTrax, SAP, MS IDWeb, SuccessFactors) based on Internal Tracking documentation (EAN) or the employee’s exit date and SLA requirements on deactivation deadlines.  Internally communicate employment related changes using internal distribution lists such as SML.
  •  Support the HR Department and Operations with HRIS systems reports on LOA, work hours, overtime, absenteeism, PTO usage and other related report requests the HR Department receives for employment data.
  • Support managers with technical issues related to HRIS systems they have access to.


Payroll Administration

  • Interact with the Payroll Center of Excellence (COE) on necessary processes and controls to implement as part of internal payroll procedures.
  • Review, verify and resolve payroll problems with department managers to make necessary adjustments to payroll and route to the Payroll COE for processing on a bi-weekly basis and for special pay cycles
  • Data entry of time off requests received from employees such as (PTO, LOA) into Kronos where not automated, including any manual time tracking.
  • Be the key point of contact with any external temporary agency regarding hours and pay tracking for resources assigned to the Arvato account.
  •  Manage promotion, demotion, merit, bonus and other pay adjustments as necessary in the various HRIS systems.
  •  Provide validation of applicable employee initiated changes in Ultipro.
  • Review hard copy & on-line payroll documents for completeness and accuracy such as making calculations, performing audits and balancing payroll amounts.
  • Provide backup support for Fargo, ND site payroll processing when Fargo HR Manager is unavailable.
  •  Request manual checks from the Payroll COE as appropriate for exiting employees.
  •   Maintain all Kronos reports regarding; payroll records, attendance, missed/edit punches, overtime, pay adjustments, etc.


HR Program Administration

  • Participate in developing, editing and presenting content for HR’s new hire orientation presented to all newly hired employees.
  • Support the Activities Committee initiatives by taking on action items and adding creative ideas during the monthly planning process.
  • Manage the Employee Education Reimbursement and other related HR recognition & reward programs as assigned.
  • Update internal forms and documents and organizational charts as required.
  • Respond to, and provide employment related documentation to DETR (Nevada Department of Employment Training and Rehabilitation) upon reques


Employee Support Services


  • Provide Managers with the daily call-in list to help them manage attendance and LOA issues.
  • Create new Arvato ID badges for new/temporary employees.
  • Support employees with e-mail, verbal or hands-on guidance and education on employment related inquires.
  • Responsible for attendance/emergency hotline and reporting the call-in-list to operations daily.
  • Management of Employee bulletin boards & legislative notice requirements for the AOC site.
  • Respond to written verification of employment requests submitted by current or former employees.
  • Maintain physical employee personnel files, LOA files and medical record files separately along with organization of HR records storage.
  • Support employees with the Health Care open enrollment process through delivery of plan content and education using formal meetings and e-mail distributio


Knowledge, Skills and Abilities:

  • Excellent communication and organizational skills needed for multi-tasking competing priorities daily.
  • Computer literate in MS Office with the ability to perform calculations and data analysis using advanced MS Excel skills and HRIS database software, store documentation with SharePoint, develop presentation slides using PowerPoint and develop written communication using IM and MS Outlook.
  • Ability to maintain accurate and detailed records.
  • Analytical, reasoning and problem-solving skills.
  • Knowledge and application of KRONOS or other time-keeping systems along with use of HRIS systems to manage employee data.
  •   Exhibit excellent customer Service by being approachable and focused on helping problem solve resolutions to employee questions.
  •  Ability to maintain strict confidentiality due to access to sensitive employee & Company data.
  • Personal growth mindset with a willingness to further develop HR related skills to support the department initiatives.



  • High school diploma or equivalent work experience.
  • Two to three years Human Resources department experience is required, preferably with hands on experience using payroll and HRIS systems.
