PROCUREMENT AND ADMIN ASSISTANT

Position Summary:

The Procurement Assistant is responsible for Data entry keys, also called key entry operators or data entry operators, enter lists of numbers, items, or other data into computers, for storage, processing or research purposes. They regularly help to transfer information from licenses, checks, or other hard copy documents into a computer. The role would require candidate to have familiarity with SAP or easy learner.  Role is also to assist local procurement functions, from raising of PO’s to monitoring delivery of requested item.

 

 

Responsibilities:

  • Posting or data entry of purchase requisitions to SAP system.
  • Verification of validity of request prior to posting.
  • Coordination with requestors and buyers for incomplete request.
  • Review requisition request in order to verify validity and completeness of data.
  • Maintain records of received requisitions for monitoring purposes.
  • Assist on local procurement task from canvassing to delivery of items.
  • Adhoc task as assign by the supervisor.
  • Perform and own procurement and related processes as needed.
  • Should be able to know how to track activities and do follow-ups with external partner as needed.
  • Filling and keeping important documents regularly.

 

 

Requirements:

  • College graduate preferably with a degree in Business Administration, Finance, Economic or related field.
  • Candidate must have at least 1-2 years of experience that includes either Purchasing, bookkeeping or record keeping.
  • Knowledge of Procurement Methods and Procedures; knowledge of record keeping methods and procedures applicable to Procurement as well as some knowledge of bookkeeping principles and methods to the keeping of Procurement records;
  • Strong administrative and clerical skills
  • Has a good communication skills
  • Knowledgeable in MS Excel (data manipulation techniques), MS Access and MS PowerPoint
  • Flexible, able to work on own initiative, deal with more than one project at a time, can work under pressure and tight deadlines, and prioritize tasks accordingly.
  • Candidate must be familiar with SAP or any other procurement tool.

 

Physical Demands & Work Environment: 

  • Ability to work in a fast paced, focused environment required.
  • Ability to work under stressful conditions during peak demand
  • Regularly required to talk and hear.

  • Process personal data, client data and employer business specific data in accordance of Personal Data Protection Act, in compliance with the CCA and in accordance with employer´s Work Procedure Rules, IT and Data Protection and other guidelines provided by employer;
