Job Description
We are currently seeking a senior associate in project management to join the marketing art department in the Penguin Random House Audio division. Reporting directly to the marketing art director, the project manager will maintain and expand custom workflows between the design, marketing, publicity, and ad ops departments for advertising and social media campaigns.

Responsibilities include:
- Serve as the primary administrator for the organization’s project management platform (currently Monday.com). Maintain automations, workflows, boards, dashboards, and reporting to ensure they operate efficiently and accurately. Proactively identify and resolve workflow issues, system errors, and project roadblocks that affect productivity.
- Modify or build new advanced automations/workflows, boards, dashboards, and custom integrations to support the departments in further optimizing workflows on current or future systems.
- Evaluate existing processes and design scalable workflow solutions that improve cross-functional collaboration, supporting operational efficiency regardless of the technology being used.
- Monitor the progress of campaigns, promotional assets, and other projects from initiation through completion while maintaining accurate project timelines. Identify risks or delays and work with departmental stakeholders to keep deliverables on schedule.
- Lead recurring project status meetings to review priorities, resolve roadblocks, and ensure accountability for deadlines.
- Serve as the primary resource for project management software and workflow questions. Troubleshoot technical and process-related issues, provide user training, develop documentation and best practices, and support adoption of new features or systems.
- Coordinate communication across marketing, design, and other departments to ensure project alignment and timely execution. Schedule and run meetings across stakeholders as needed; communicate updates and decisions.
- Continuously assess project workflows, identify efficiencies, and recommend process improvements. Keep informed of new tools and technologies, support implementation, documentation, training, and organizational adoption to ensure teams can effectively keep projects running.
Qualifications
- Minimum of 4 years professional project management experience, preferably in a publishing, marketing, creative services, or agency environment.
- Demonstrated expertise administrating project management platforms with advanced proficiency in Monday.com required. This includes creating and managing board architecture, dashboards, workflow builder, automations, app integrations, and reporting. Experience with Superform and Ziflow is strongly preferred.
- Proven ability for learning, implementing, and supporting new software platforms. Comfortable adapting workflows and processes when organizational systems change.
- Strong process improvement mindset with an eye toward operational effectiveness coupled with interpersonal skills that engender team collaboration.
- Self-motivated and resourceful with the ability to work independently, prioritize competing demands, and exercise sound judgment on projects.
- Strong organizational skills, attention to detail, and project coordination skills with the ability to maintain accuracy, anticipate risks, and evolve with changing deadlines in a fast-paced environment.
- Excellent written and verbal communication skills with the ability to effectively communicate project status, facilitate meetings, and provide user training and support.
- Proficiency in Microsoft Office applications and Smartsheet; experience with additional project management and workflow automation tools, a plus.
Additional Information
This is a hybrid position with in-office responsibilities (approximately 2-3 days a week). We will consider candidates who can work from a commutable distance to our offices at 1745 Broadway, which includes the tri-state area (NJ, CT, and NY).
The salary for this position is $65,000. All positions are currently eligible for annual profit award or bonus, subject to Company results.
