Publishing Assistant

Penguin is seeking a Publishing Assistant to provide administrative support to the SVP, Director of Publishing Management. This is a great opportunity to learn about all aspects of the publishing business.  We are seeking candidates who are quick learners, are able to multitask, and can identify and set priorities.


The Publishing Assistant:

  1. Provides administrative support (answers phone, takes messages and disseminates information)
  2. Manages SVP calendar including coordinating meeting requests, scheduling meetings, booking meeting rooms and setting up technology needed
  3. Processes monthly T&E expenses and runs various ad hoc reports
  4. Supports SVP in integration of newly acquired business:  responds to queries from authors and agents; handles book mailings to contributors; resolves billing issues; runs sales reports and analyzes category trends; monitors metadata and recommends updates as needed
  5. Interacts with SVP direct reports including heads of Managing Editorial, Production Editorial, and Production departments as well as indirect reports (staff of 115).
  6. Assists Marketing Services team with recording and editing Editorial audio presentations each season for all Penguin Publishing Group imprints.



  • Publishing experience preferred
  • Excellent oral and written communication skills
  • Excellent organizational and time-management skills
  • Ability to work independently and handle multiple tasks and projects simultaneously
  • Must be comfortable working with numbers
  • Strong knowledge of Microsoft Office (Outlook, Word, Excel, etc.) and facility with database environments and online resources
  • Knowledge of GarageBand a plus
