Publicity Assistant - The Random House Group

The Random House division of Penguin Random House is seeking a Publicity Assistant to support the SVP Director of Publicity for the Random House publishing division and the VP, Deputy Director of Publicity, Random House imprint, focusing on nonfiction. This role is tasked with partnering with the senior publicity principal of the RH group with supportive administrative duties, high-profile project work, media relations, and department organization.  The role also tasked with working alongside senior level Deputy Director of Publicity organizing the logistics of author tours, securing various media, and performing general administrative duties. The Publicity Assistant will work with a wide array of award-winning, bestselling books and authors, newsmakers, politicians,  and is the ideal position for a curious, confident, self-motivated person who loves books, has an understanding of the media and is interested in learning how to craft book publicity strategy and bestselling book campaigns for high profile authors.


Specific responsibilities include:

  1. Calendar and meeting organization
  2. High-profile project work
  3. Coordinating travel and other essential arrangements for major author tours.
  4. Handling detailed tour and media schedules for campaigns.
  5. Responding to a variety of calls from media, authors, and booksellers, and communicating between related in-house departments.
  6. Coordinating and executing review copy mailings.
  7. Gathering and organizing press clips.
  8. Creating department reference documents pertaining to press kits, title assignments, budgets, and award submissions.
  9. Liaising with bookstores for author events.
  10. Processing invoices, maintaining title budgets on supervisor’s campaigns, and organizing department budgets.
  11. Performing online research to acquire publicity contacts and updating media lists.
  12. Coordinating logistics for meetings, including securing conference rooms, coordinating calendar schedules, preparing meeting materials, and taking notes.
  13. Providing general administrative support, including answering phones, taking messages, photocopying, filing, expense reporting etc.

  • Excellent written and verbal communication skills
  • Strong follow-up skills
  • Ability to multi-task and prioritize in a deadlines driven environment
  • Strong organizational skills and attention to detail
  • Proficiency with Microsoft Word, Outlook and Excel
