Penguin Random House Audio seeks a Digital Operations Assistant to work within the divisional Operations team, primarily supporting the financial aspects of audio production. This division publishes approximately 1000+ titles per year across multiple formats and genres, and the Digital Operations Assistant will be responsible for coding and processing all invoices while liaising with Accounts Payable and outside vendors. This is an exciting opportunity to learn about audio publishing and to work with a diverse range of genres.

 

Specific responsibilities include:

  • Work with the audio producer teams in NYC and LA locations to code and process all recording production invoices from freelancers and vendors.
  • Coordinate with Accounts Payable, producers, and freelancers to set up freelancers in the accounts payable system, and with ACH payments. Requires the ability to understand domestic and international tax forms, and banking information, as well as the need for discretion when handling personal financial information.
  • Process paperwork for check requests and wire transfers.
  • Troubleshoot invoice and vendor problems, including investigation and follow-up on late invoice payments, and invoices or vendor forms that require corrections.

 

The ideal candidate will have the following qualifications:

  • Interest in finance and accounting operations preferred. 
  • Strong organizational and communication skills with the ability to work independently on a large volume of deadline-driven projects and also work as part of a team.
  • Attention to detail and the ability to work efficiently a must.
  • Diplomatic approach to problem-solving and the ability to deal with challenging situations professionally and patiently.
  • Strong PC skills, including proficiency with Excel and ability to learn internal systems (SAP, FMP).
  • Interest in books and the publishing industry preferred but not required.
