The Ebook Development & Operations group is seeking to fill the position of Administrative Assistant to support the VPs who manage this team. We are looking for an individual who can provide support and assistance in the daily operations of their offices and the broader group.

 

The Assistant must be able to manage a diverse range of responsibilities including, but not limited to: independent calendar management, meeting setup including telepresence operation, occasional catering, agendas, minutes, and action items. The Assistant also supports the broader team by coordinating travel arrangements as needed, occasional office move coordination, handling expense reports, coding invoices, maintaining hardware inventory and generating monthly reports.  The Assistant will additionally assume ownership of certain other non-administrative functions and projects that are integral to the team’s work such as ebook testing, coordinating training and other tasks on request.

 

Job requirements

 

Candidates should have a minimum of 2 years administrative or comparable work experience ideally in a publishing and/or operations environment. Must be extremely computer literate and comfortable learning new software.

 

This position represents the VPs of Ebook Development & Operations as well as the larger team to the rest of the company and must possess a friendly, helpful disposition and a sense of humor.

Successful candidates will be happy performing normal administrative duties for the VPs and other senior team members, while also demonstrating the ability to take initiative and exercise independent thinking where needed. Excellent organizational skills and attention to detail are required. Candidates must also have the ability to manage multiple projects simultaneously and set priorities accordingly. Proficiency in all Microsoft Office programs and comfort using a Mac are necessary.
