Administrative Assistant - Audio

<span style="font-family:"Times New Roman",serif"><span style="font-family:"Calibri",sans-serif">The Penguin Random House Audio Publishing Group is seeking an organized and detail-oriented Administrative Assistant directly supporting the President & Publisher and the SVP, Strategic Business Planning. The Administrative Assistant will have a wide range of responsibilities ranging from maintaining general organization of the office to liaising with agents, authors, and editors on behalf of the President.

<span style="font-family:"Times New Roman",serif"><span style="font-family:"Calibri",sans-serif">The Administrative Assistant:

  1. <span style="font-family:"Times New Roman",serif"><span style="font-family:"Calibri",sans-serif">Maintains calendar (including outside appointments, meetings, lunches, dinners, events, etc.) and ensures that meetings in the President’s Office run effectively and on time each day.
  2. <span style="font-family:"Times New Roman",serif"><span style="font-family:"Calibri",sans-serif">Tracks daily, weekly, and long-term priorities for President, and the SVP, Director, and amends the schedule to suit those priorities.
  3. <span style="font-family:"Times New Roman",serif"><span style="font-family:"Calibri",sans-serif">Prepares for meetings or presentations (running reports, creating slides, gathering information, etc.).
  4. <span style="font-family:"Times New Roman",serif"><span style="font-family:"Calibri",sans-serif">Provides general administrative support including processing expenses, tracking invitations and charitable requests, ordering supplies and books, sending and receiving packages, files, faxes, photocopies, and scans.
  5. <span style="font-family:"Times New Roman",serif"><span style="font-family:"Calibri",sans-serif">Handles inquiries and requests from external callers, internal contacts, and visitors (in office) at all levels of the organization.  Directs calls, takes messages, and relays information in a clear, efficient, and organized way.
  6. <span style="font-family:"Times New Roman",serif"><span style="font-family:"Calibri",sans-serif">Provides administrative support to other Audio leadership and departments as needed.
  7. <span style="font-family:"Times New Roman",serif"><span style="font-family:"Calibri",sans-serif">Provides support on various projects relating to marketing or publicity.
  8. <span style="font-family:"Times New Roman",serif"><span style="font-family:"Calibri",sans-serif">Will handle planning of foreign and domestic travel including detailed itineraries.
  9. <span style="font-family:"Times New Roman",serif"><span style="font-family:"Calibri",sans-serif">Will be responsible for coordinating small and large meetings, on-site and off-site, upon return to the Penguin Random House offices.

 

<span style="font-family:"Times New Roman",serif"><span style="font-family:"Calibri",sans-serif">Requirements:

  • <span style="font-family:"Times New Roman",serif"><span style="font-family:"Calibri",sans-serif">Minimum of 3 years prior office experience in a fast-paced and highly visible support role
  • <span style="font-family:"Times New Roman",serif"><span style="font-family:"Calibri",sans-serif">Must be able to act with discretion and able to handle confidential and sensitive information at all times
  • <span style="font-family:"Times New Roman",serif"><span style="font-family:"Calibri",sans-serif">Excellent organizational skills and attention to detail
  • <span style="font-family:"Times New Roman",serif"><span style="font-family:"Calibri",sans-serif">Proven ability to multi-task and identify priorities
  • <span style="font-family:"Times New Roman",serif"><span style="font-family:"Calibri",sans-serif">Excellent communication and interpersonal skills
  • <span style="font-family:"Times New Roman",serif"><span style="font-family:"Calibri",sans-serif">Professional manner on the phone, over email, and via other written correspondence
  • <span style="font-family:"Times New Roman",serif"><span style="font-family:"Calibri",sans-serif">Proficiency with Microsoft Office Suite, including Outlook, PowerPoint, Word, and Excel
  • <span style="font-family:"Times New Roman",serif"><span style="font-family:"Calibri",sans-serif">Spanish language skills are a strong plus
