Summary

Penguin Random House Grupo Editorial has an exciting opportunity for an Executive Assistant to join our US Hispanic team located in Miami, FL. Reporting to the President and providing additional support to the sales team, this role will provide administrative and customer support.

 

Responsibilities

 

  • Offers general administrative support for the department and the department head.
  • Provides customer service and communicates with various internal and external departments to place and track sales orders.
  • Takes responsibility for basic office management tasks such as office supplies and maintaining common areas in order. Identifies and deals with third party suppliers where required.
  • Orders samples for customers.
  • Manages domestic and international travel arrangements for the team.
  • Manages expense report coordination and submission.
  • Creates seasonal presentations. Uploads metadata to customers’ databases.
  • Produces and coordinates the delivery of sales assets for customer presentations, meetings and trade shows.
  • Assists with book selling in person for local events.
  • Acts as liaison with building management and coordinates repairs.
  • Handles courier packages both inbound and outbound for Sales team.

 

 

Requirements

  • Fully bilingual (Spanish / English)
  • Must be comfortable working with numbers
  • Must be proficient in Microsoft Outlook, Excel and Word.
  • Ability to communicate, present and influence credibly and effectively at all levels of the business
  • Highly motivated with a drive to succeed
  • Strong team player
  • Proven ability to work in a fast-paced, deadline driven environment.
  • Highly organized with the ability to successfully work on multiple projects at a time and adapt to changing priorities
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
