Location: 320 Front Street, Toronto, Ontario. In office (minimum three days per week; dependent on role)

Expected Compensation: The salary range for this position is between $51,425 and $61,710. Compensation will be determined based on experience.

Reporting directly to the Employee Rewards & Wellbeing Manager, you will support the development and administration of our employee rewards programs. This role sits at the intersection of operational excellence and employee experience - where precision, curiosity, and care directly shape how employees experience Penguin Random House. 

 

You will champion our wellbeing framework and manage the administration of related benefits programs and processes. Additionally, you will coordinate and execute the foundational elements of human resources while gaining exposure to strategic people and culture initiatives. Operating in a dynamic environment, you will stay humble and curious, proactively seeking to understand employee needs, asking thoughtful questions, and identifying opportunities to enhance the day-to-day employee experience. You will also lean into a growth mindset by continuously looking for ways to refine processes and strengthen our cross-functional collaboration. As a core member of the HR team, you will help your team members grow through conscientious administrative support.

Experience and knowledge you’ll bring (qualifications): 

 

  • Pension and Benefits Experience: 1-3 years of work experience related to benefits and pension administration. A post-secondary degree or certificate in Human resources or a related field is required. 

  • Communication Skills: Demonstrated ability simplify complex information and help others connect the dots. 

  • Interpersonal Savvy: Proven experience in building meaningful relationships across all levels of an organization. 

  • Organizational and Detail-Orientation Skills: Ability to prioritize work and manage multiple responsibilities and deadlines, while paying attention to the details. 

  • Integrity and Compassion: Demonstrated ability to maintain confidentiality and act with integrity. 

  • Technical Proficiency: Proficiency with Microsoft Office Suite (with emphasis in Excel) and collaborative digital tools (including Teams, Asana), and experience with an HRIS.  

  • Critical Thinking: Good analytical skills to identify, assess, and resolve issues, derive insights from data, and make sound recommendations. 

  • Listening Skills: Strong ability to listen and understand colleagues' experiences and needs.

What you’ll do: 

 

  • Provide day-to-day administrative support for all human resources programs with a focus on our pension, benefits, and wellbeing programs, while actively taking part in refining and streamlining the processes. 

  • Maintain data accuracy within HR systems, including auditing, tracking, and reporting as well as processing employee information and events. 

  • Prepare employment letters and documentation, including confirmation of employment, offer, and extension letters.  

  • Facilitate orientation activities and coordinate with IT, Office Services, and leaders to deliver the best possible experience for all new and returning employees. Use project management tools (we use Asana) to track onboarding tasks, timelines, and cross-functional deliverables to ensure a seamless experience. 

  • Manage the health and safety program and corresponding initiatives to ensure a safe work environment, including membership on the Joint Health and Safety Committees and facilitation of ergonomic assessments. 

  • Schedule, organize, and deliver all human resources-led events, and hold an active and contributory membership on the Social Committee. 

  • Draft employee communications, documentation, and other human resources materials.  

  • Work closely with the payroll team to supply instructions that enable prompt, accurate payroll transactions. 

  • Provide calendar management and other support for the human resources team. 

  • Respond to questions from employees, manage HR content on the intranet and manage the HR inboxes. 

 

This role is expected to work at least three days per week from our office located at 320 Front Street West, Toronto, ON.  Therefore, candidates should reside within the commuting distance of our office.
