Executive Assistant (F/H)


We are looking for an Executive Assistant (F/H) to support our Managing Director and join our team in Paris. Your Mission.
You will support our Managing Director in all organizational and administrative tasks, which include: coordinating internal and external meetings/calls, maintaining the calendar, organization of booking travels, submitting expenses reports, answering the phone and follow-up incoming and outgoing emails.


Your Responsibilities.

Your daily routine will include the following:

  • You are responsible for the travel management of our Managing Director, from booking to expensing. 
  • In collaboration with the Managing Director, you will prepare decision papers and presentations.
  • You coordinate and organize events and/or conferences and are the contact person for general enquiries.
  • You are the contact person for business partners, artists and artist management as well as for colleagues within BMG and Bertelsmann. Kindly welcoming them at the office is also in your hands. 
  • You develop and maintain strong relationships with other Senior Executive assistants, especially in the head office.
  • You will update the Executive on company internal projects, concerts, promotions and potential issues.
  • Ordering supplies and other tasks related to the follow-up of office logistics (internet, works, etc.) is also part of your responsibilities.
  • Attending the reception desk from 6pm to 7pm.


Your Profile.

  • You have successfully completed a degree in business, music, media or related field and have already gained relevant experience as an assistant in the music or media industry.
  • You act proactively and are used to working independently and keeping track of processes.
  • First class organisational skills with experience of handling multiples priorities simultaneously with a cold head.
  • You are a talented communicator and are used to dealing with a wide variety of people.
  • MS Office, video systems and presentations’ software (i.e. Canvas) are easy for you to handle.
  • Your French and English skills (written and spoken) are excellent.
