Administrative Assistant

Position Summary:

Responsible for providing logistical support to the VP and on site Leadership, carrying out high-level administrative tasks reporting into Vice President the Human Resource manager. The ideal candidate will be working under minimal supervision, exercising independent judgement and takes personal initiative while having a strong ability to prioritize, maintain confidentiality and handle sensitive situations with tact and discretion.

 

Overall Responsibilities:

  • Organize, coordinate and arrange meetings at corporate locations or offsite
  • Make travel arrangements
  • Maintains Executive calendar in MS Outlook
  • Handle incoming and outgoing telephone calls, incoming and outgoing communication (letters and e-mails), compose, edits and assist internal and external correspondence
  • Assist with Marketing and Communications
  • Manage executive credit card reconciliation and reimbursement allocations
  • Process and organize internal documents
  • Ensure smooth-running office operations
  • Assist in the building of office practices, guidelines and supports onsite events
  • Maintain contacts with outside vendors to provide supplies and meals
  • Manage Conference room schedule
  • Operational tasks including (e.g. creating firm materials, updating decks/presentations, assisting with projects)
  • Preparing databases to track information (KPI’s for Operations)
  • Other duties as assigned
  • Available to travel

 

Minimum Requirements:

  • 1-year experience writing and proofreading skills
  • 3 years administrative and office management experience
  • 3 years experience in MS Office; with the demonstrated ability to create advanced worksheets in excel and Powerpoint Presentations

 

Preferred Qualifications:

  • Bachelor’s degree preferred
  • Advanced Microsoft Office skills with emphasis in Excel and PowerPoint
  • Positive, detail-oriented self-starter with excellent customer services abilities
