Facilities Assistant - San Diego (PT)

The Facilities Assistant is responsible for assisting the Chief Facilities and Auxiliary Services Officer with carrying out the day-to-day operations of the Facilities department.  


The Facilities Assistant will be responsible for performing a variety of administrative tasks, which include monitoring the Facilities Helpdesk ticket system, and event coordination through the Astra system.  The Assistant position requires excellent communication skills and a great customer service attitude.     This is a part-time positions, scheduled to work 25 hours per week.

 

Duties & Responsibilities:

  • Administrative duties include answering email, and directing all incoming calls to appropriate individuals and departments; data entry, sort, scan and distribute incoming mail, assist with maintaining hard copy and electronic files.
  • Assist with disseminating department communications related to University events. 
  • Monitor Facilities Helpdesk ticket system, process work orders and coordinate with various Alliant departments.
  • Schedule meeting room requests by using the Astra system.
  • Assist with event coordination, set up and break down, and reception as needed.
  • Process invoices and student payments.
  • Perform other related tasks, duties and responsibilities as required, assigned or directed.

  • Proficient computer skills with Microsoft Office programs
  • Excellent customer service and interpersonal skills. 
  • Ability to work with minimum direct supervision.  
  • Sensitivity to cultural diversity and ability to communicate and interact effectively with people of all ages and diverse background
  • Proven ability to work effectively as a team player
  • Highly motivated, focused and results oriented
  • Ability to exercise discretion and tact in all interpersonal contacts, and to maintain confidentiality at all times
  • Ability to manage multiple tasks according to required deadlines

Minimum Qualifications:

  • Education:  High School Diploma or GED required. 
  • Experience: Two (2) years experience in an office setting is required.
  • Certifications, Licenses, etc.: None
